🚀 Getting Started

  1. Create/Select your business profile
  2. Add product Categories and define storage Areas
  3. Set up Email contacts (Past Invoices → Email Setup)
  4. Scan your first invoice to sync items to the cloud

User Roles

Administrator
Full access, user and business settings.
Manager
Inventory, invoices, reporting.
Employee
Scanning and basic inventory updates.

📷 Invoice Processing

Invoices are processed using a cloud pipeline (Azure Document Intelligence via a secured backend). The app extracts vendor, invoice number, dates, totals, taxes, and full line items.

How to Scan

  1. Tap Scan Invoice
  2. Capture all pages; multi‑page scans are auto‑combined into a single PDF
  3. Wait for cloud parsing to complete; review extracted fields
  4. Edit any fields or line items; your edits help improve future accuracy per vendor
  5. Save to sync the invoice and items to the cloud
AI learningper‑vendor
The app learns date, invoice number, and line‑item patterns from your corrections.
Line items
Qty × Unit Price is computed per row; subtotals/tax/total are reconciled.
Dates
invoiceDate and dueDate are captured and used across reporting and P&L.

📨 Past Invoices & Email

Selection Mode
Tap Select, choose invoices, then Email Selected.
Native composer
If Mail is configured, a composer opens with recipients, summary, and attachments.
Attachments
Cloud PDF (if available) or a combined PDF from pages; JPEG fallback when needed.
Sent status
Invoices can be marked sent automatically when composing, or manually via swipe (paperplane icon).

Note: Composer requires an email account configured in iOS Mail. Otherwise, iOS share sheet is used.

📊 Reports & Sharing

Full Inventory
Share a PDF summary plus CSV export, and a category‑ordered CSV attachment.
Quick Count
Share summaries and CSV of counted items.
Email flow
Reports use the same multi‑select + composer behavior as Past Invoices.
Report detail
Tap a completed report to open its detail and share from the toolbar.

💹 P&L (By Category)

P&L aggregates Net Sales and COGS by category for the selected month range.

Net Sales
Taken from your Sales entries over the period.
COGS
Sum of processed invoice line items dated by invoice date (not scan date).
Category integrity
Line‑item categories are snapped to your business’s category list. Unknown/free‑text values fall back to Uncategorized.

Quick Count

  1. Open Quick Count from the dashboard
  2. Search/select items and update quantities (supports decimals)
  3. Save to sync the changes

🔧 Troubleshooting

Invoice parse looks off
Ensure clear photos and good lighting. Edit fields/line items; future scans for that vendor improve.
No mail composer
Configure an email account in iOS Settings → Mail. Otherwise the share sheet is used.
Ingredient combos stall
The app runs generation in the background and shows a loading indicator. Try fewer seeds if still slow.
P&L category looks wrong
Check the invoice’s line‑item category and rename to your canonical category if needed; unknowns fall back to Uncategorized.

🔒 Privacy & Data

Cloud data
Invoices, line items, reports, users, businesses, categories, suppliers, and trends are stored in Google Firebase Firestore for sync across devices.
On‑device
Temporary data (e.g., camera captures) may be held to assemble PDFs before upload.
Security
Data is transmitted over HTTPS; Firebase provides encryption at rest. You control your business data and can request deletion.
